  • Assist Facilities team with ensuring prompt payment for services procured by creating NTPOs via SAP and, processing invoices and PO's in an accurate and timely manner

  • Process internal SharePoint workflows to ensure accurate creation and processing of Fleet related activities.

  • Co-ordinate meetings, video conferences, documented updates and actions and monitor agreed actions

  • Maintain accurate and up to date information in internal share point system and support clear presentation of fleet and travel information to internal customers

  • Support department environment initiatives and compliance to support ISO14001 and ISO9001 as a minimum.

  • Assist with travel system data management, supporting user administration functions and permissions

  • Ensure clear and prompt communication of Travel related news and possible issues for travelers

  • Assist with data gathering, recording and reporting of contracts, agreements and leases in internal system

  • Support the monitoring and reporting of all Facilities issues logged in the internal system (HEAT)

  • Support accurate & up to date car fleet administration and provide reports as requested by Facilities, HR, or Finance departments. Support new car lease contracts and proper return/disposal of leased vehicles

  • Provide first level support for Fleet services to employees

  • Assist and support travel administration and monitor and document travel activity to ensure accurate reporting. Keep central records of local travel initiatives, preferred hotels and services

  • Support asset management processes by reviewing and reporting assets via internal system (HEAT)

  • Act as back up for fleet and travel management during absences

  • Assist with the administration of local and central insurance details and claims handling

  • 2+ years of experience in a similar position

  • MBO degree or higher with a focus on Facilities / Business or Finance

  • Team player and pro-active mindset

  • Fluency in English, Dutch is a huge plus

  • Immediately available

  • 32 to 40 hours a week

  • SAP experience is valuable
